Erasmus+ Studies

We invite you to participate in the recruitment process for the Erasmus+ Studies Programme. Details can be found below in the "Recruitment for mobilities in the academic year 2026/2027".

Each Faculty and Institute of the Jagiellonian University signs its own agreements with foreign universities. The current offer of trips available for your unit can be found in the USOSweb system in the STUDENTS' SECTION tab → Student Exchangemobility offer.

The list of all universities cooperating with individual faculties/institutes can be found on the Center for International Cooperation website (on the left side, in the section SEE ALSOLISTA UMÓW KA 131-HED).

You can only apply for exchange programs offered by your own faculty or institute; participating through a different unit is not allowed.

If your unit does not have a signed agreement with the university you are interested in, please contact your Faculty/Institute Coordinator. Perhaps they will be able to sign a new contract.

Your Faculty Coordinator can help you with preparing the Learning Agreement for Studies and with course selection at your host university.

Erasmus+ KA131

We encourage you to take part in the Erasmus+ Studies Programme for the 2026/2027 academic year. The first round of recruitment will begin in January 2026, while the second round will start in May 2026. During the first round, you can apply for an Erasmus+ Studies mobility for any semester of the 2026/2027 academic year (winter or summer semester) or for the entire 2026/2027 academic year. During the second round, you can apply for an Erasmus+ Studies mobility only for the summer semester of the 2026/2027 academic year.

Recruitment is open to Erasmus+ member universities in all European Union countries as well as Turkey, Norway, North Macedonia and Serbia. Students and PhD students from certain units also have the possibility to apply for mobilities to Switzerland (under SEMP funding, not ERASMUS+) and under the Coimbra Group Student Exchange Group (CG SEN).

HOW TO SUBMIT YOUR APPLICATION

Recruitment for the Erasmus+ Study Programme is done only through the USOSweb system. In order to take part in the recruitment process, you need to log in to the USOSweb system and then select the STUDENT'S SECTION -> Student Exchange and submit your application. After logging in to USOSweb, the student or doctoral candidate will be able to view a list of partner foreign universities.

 

Obligatory Fields in the USOSweb Application - Applicable to students and doctoral candidates from JU units with Common Qualification Criteria

  • Priority of Destinations -Indicate up to three foreign universities where you wish to study, ranked in order of preference. Please make yourself familiar with the profile of the universities (on the websites of the universities) that you will select.
  • Language Proficiency Declaration - Provide information about your proficiency in the language of instruction at the host university
  • Mandatory Documents (in Polish or English) - Curriculum Vitae (CV) and Cover Letter 
  • Study Program at Home University - Submit your current study program as part of the application for mobility.
  • Previous Erasmus Mobilities - Mention your prior Erasmus+ mobilities.

 

The following fields are not required to be completed in the USOSweb application: courses with grades, opinion, internships abroad, other experience (applies to students/doctoral students from JU units with Common Qualification Criteria)

ADDITIONAL POINTS IN THE RECRUTIMENT (applies to students/doctoral students from JU units with Common Qualification Criteria) 

Additional involvement. A student/doctoral student may be awarded additional points in the recruitment process upon providing documented evidence of current activity, i.e. engagement undertaken at the time of submitting the recruitment application, in the activities of Jagiellonian University student and doctoral bodies (including, but not limited to, the Student Government, academic societies, and organizations operating within the Jagiellonian University). A confirmation document (signed by a representative of the relevant organisation) must be provided via the form.

 

Rector's scholarship. Students who have been awarded the Rector’s Scholarship in the year of recruitment will automatically receive 15 additional points in the recruitment process.

 

 RECRUITMENT WITHIN THE COIMBRA GROUP STUDENT EXCHANGE NETWORK (CG SEN)

Students and doctoral students of selected UJ units have the opportunity to apply for Erasmus+ Studies mobility to universities under CG SEN multilateral agreements. To apply for CG SEN recruitment choose the following path in USOSweb: STUDENT’S SECTION -> Student Exchange -> applications -> unit selection: "Jagiellonian University in Krakow" -> select "submit application".

Students receive a scholarship from EU funds as a contribution to travel and living costs abroad. These amounts are determined by the Erasmus+ National Agency and depend on the chosen mobility country.

TOTAL SCHOLARSHIP AMOUNT

The financial agreement is prepared based on the dates declared by the student (from the beginning of classes at the host university to the end of exams). The agreement specifies the maximum scholarship amount that can be obtained if the student stays for the entirety of the planned mobility.

In justified cases, it is possible to change the mobility duration by annexing the agreement and adjusting the financing period. Changes must be reported no later than 30 days before the end of the original funding period. Details are in the Duration of the Mobility tab. 

Note: the Erasmus+ Program assumes that a month has 30 days (do not count calendar days manually). The duration of the mobility is calculated by the system based on dates.

 

After the mobility ends, the scholarship is calculated precisely based on the actual number of days confirmed in the Confirmation of Stay. If the stay is shorter than the period stated in the agreement, the unused days will be deducted from the maximum scholarship amount. If the final scholarship is less than the amount already paid, the student will be asked by the Student Exchange Office to return the difference.

 

In the case of mobility for one semester, the scholarship is paid in 2 installments:

  • The first installment is paid before departure and constitutes 80% of the entire scholarship and the travel grant.
  • The second installment is paid after submitting a complete set of documents for settlement and constitutes 20% of the entire scholarship.
     
  • If the Confirmation of Stay shows a shorter actual duration of mobility than the financing period included in the agreement, this installment will be reduced by the equivalent of the missing days. If the scholarship due is lower than the amount previously disbursed, the student will receive a request from Student Exchange Office to refund the difference.

 

In case of mobility for the whole academic year, the scholarship is paid in 3 installments:

  • The first installment is paid before departure and constitutes 50% of the entire scholarship and the travel grant.
  • The second installment is paid before the beginning of the summer semester and constitutes 40% of the entire scholarship.
  • The third installment is paid after submitting all the documents for settlement and constitutes 10% of the entire scholarship.
     
  • If the Confirmation of Stay shows a shorter actual duration of mobility than the financing period included in the agreement, this installment will be reduced by the equivalent of the missing days. If the scholarship due is lower than the amount previously disbursed, the student will receive a request from Student Exchange Office to refund the difference.

TOP-UP GRANT FOR PARTICIPANTS WITH FEWER OPORTUNITIES

An increase in the monthly scholarship rate by EUR 250 is available to students whoin any semester of the academic year preceding the academic year in which mobility will take place, received a social scholarship at any university and to students with a certificate of disability.

The scholarship decision or disability certificate must be delivered to Student Exchange Office - it may be a scan of the document sent by e-mail.

TRAVEL GRANT / GREEN TRAVEL ALLOWANCE

Each participant in the Programme will receive a lump sum for travel. The amount of the lump sum depends on the method of travel and the distance from the place of departure (the final location of the sending university - Kraków) to the place of the host institution. The distance is determined based on the distance calculator available on the European Commission website.

The lump sum rates are available here. A low-emission travel method (e.g. by train, coach, carpooling) corresponds to the "green travel" lump sum, while a journey carried out in a high-emission travel method (e.g. by plane) corresponds to the "standard travel" lump sum.

Additionally, after completing the mobility and submitting the required documentation, the participant may receive up to 6 funded travel days in case of a low-emission trip ("green travel") or up to 2 funded travel days in case of a high-emission trip ("standard travel"). The travel days cannot coincide with the days of mobility implementation at the host institution. After the exchange, the participant is required to submit a declaration of the completed journey along with the corresponding tickets.

If, after the exchange, the student/PhD student proves that they used an environmentally-friendly, low-emission travel method, then together with the last installment of the scholarship, an amount corresponding to the compensation of the lump sum for the "standard trip" for the "green travel" trip is paid.

The trip may take place up to 30 days before the start and up to 30 days after the end of the mobility. Travel days must not overlap with the days of stay at the host institution.

THE PRINCIPLE OF FLEXIBILITY

The student has the right to retain the full scholarship for a period of up to 5 days shorter than that indicated in the agreement. For example, in case of a 150-day agreement, you will retain the full scholarship corresponding to 150 days of mobility for the period of 145 to 150 days shown in the Confirmation of Stay.

TOP-UP GRANT FOR PARTICIPANTS WITH FEWER OPORTUNITIES

​​Top-up grant of EUR 250 for participants meeting the criteria of "fewer opportunities" (increased Erasmus+ rate) is available to:

  1. Students who received a social scholarship in any semester of the academic year preceding the mobility:
    The condition for increasing the basic Erasmus+ grant rate is the submission of a declaration and positive verification in the USOS system confirming the awarded social scholarship.
  2. Students with a disability certificate:
    The condition for increasing the basic Erasmus+ grant rate is the submission of a declaration and positive verification in the USOS system of the disability certificate.
  3. Students with children under the age of 8 (in the year of the mobility):
    The condition for increasing the basic Erasmus+ grant rate is the submission of a declaration and presentation of the child’s birth certificate for the university’s review.
  4. Students who have been granted asylum or have refugee status:
    The condition for increasing the basic Erasmus+ grant rate is the submission of a declaration and positive verification in the USOS system of the relevant annotation regarding the right or status held.

REGISTRATION AT THE HOST UNIVERSITY

Once you are accepted for the Erasmus+ Programme, the Student Exchange Office will send your nomination to the host university. About 2–3 months before your exchange starts, the host university will send you an email with instructions on how to apply. Please check the application deadline on the host university’s website. You must complete the application by yourself. Follow the instructions carefully. If you miss the deadline, the host university may reject your application.

SIGNING THE FINANCIAL AGREEMENT

Before the mobility begins, each student must sign a financial agreement at the Student Exchange Office. This agreement includes the mobility dates and the scholarship amount. Information about the signing date is sent by email around two months before the start of the mobility.

In justified cases (e.g. being abroad), the agreement can be signed remotely. In this case, the student receives the agreement online, prints two copies, signs them, and sends them by traditional mail to the Student Exchange Office.

REQUIRED DOCUMENTS

The following documents must be submitted before the mobility. They may be sent by email. Providing these documents is necessary to begin the mobility at the host university and to receive the first installment of the scholarship.

  • BANK DETAILS FORM filled out on a computer, printed and signed by hand. The account must be in EURO currency. Please submit the document as a PDF file.
  • EWP LEARNING AGREEMENT submitted via USOSweb, fully approved before the mobility begins.
    • In case of program differences, an annex to the LAS is also required.
    • Submitting a document in a paper version (Before the Mobility part) signed by the Student and Coordinators from both universities is only allowed in case of universities that have not yet processed LA through EWP. Students who complete the EWP LA in USOSweb do not complete the paper version of the document.
    • EWP LA procedure in USOSweb:
      Please ask the JU Coordinator to open the EWP Learning Agreement in USOSweb. Once the EWP LA is created by the Coordinator, the student should fill out the necessary information and accept the document. In Table A, please enter the courses selected at the Receiving Institution; in Table B, please indicate the courses that will be recognized as equivalents at JU (please always select "subject" in Table B, not "points"). If a course does not have an equivalent, it may be entered in the diploma supplement (in its original name) as an elective course. In such case, please select the subject "Program Erasmus+" with the code DOSZ.ERASMUS in Table B and enter the total number of ECTS points obtained from all elective courses listed in Table A. For the DOSZ.ERASMUS course, select Automatic credit: NO and in the comments box, enter the following phrase: "Courses are recognized according to par. 11 point 8 of the Study Regulations (Regulation of the Senate of the JU of 24.04.2019 with amendments.)". If there are any specific details regarding the form of course credit, you may also include them in the comments box. Table C should not be filled out. Once the student accepts the EWP LA, the JU Coordinator can either approve it or ask the student to make corrections and resubmit it. After the student resubmits the corrected document and it’s accepted by both the student and the JU Coordinator, the system will automatically send the Learning Agreement to the receiving institution at the email address the coordinator provided during the setup. If there are any changes to the EWP LA after full acceptance, please ask the JU Coordinator to create a new version of the EWP LA in USOSweb. The approval process will be similar to the previous version. 

      Please inform us via e-mail when EWP LA is fully accepted!
  • SMS STATEMENT - in which the student declares:
  • having an EHIC card valid for the entire period of travel and stay within the Erasmus+ Programme (applies only to Polish citizens). Having an EHIC card is optional for mobilities in countries that are not part of the EU and do not accept the EHIC card (e.g. Turkey).
  • purchase of: medical insurance and personal accident insurance - valid for the entire period of travel and stay within the Erasmus+ Programme in the host country. It is also recommended to purchase insurance against the loss or theft of documents, travel tickets, and luggage.
  • registration of the trip in the Odyseusz portal (applies only to Polish citizens).
  • familiarizing yourself with the Erasmus+ Student Card
  • having a student's status for the academic year in which the exchange will take place
  • mobility capital You can use up to 12 months of Erasmus+ mobility during each level of studies (bachelor’s, master’s, and doctoral). If you're in a long-cycle master’s program, you can use up to 24 months in total.
  • the main language in which the exchange will be conducted. 

    Please submit the document as a PDF file.

LANGUAGE SUPPORT - you can take the OLS language test on the EU Academy OLS platform in the language in which the mobility will be held. This test can be helpful if you do not have a certificate in the main language of your exchange. Once you have completed the test, you can download the certificate from the EU Academy OLS platform.

The first installment of the scholarship will be transferred once the student has completed all required formalities.​

MOBILITY CAPITAL

The mobility capital is 12 months for first/second/third cycle studies and 24 months for long-cycle master's studies. You cannot participate in the Erasmus+ Program after using the Mobility Capital allocated for a given degree of study.

MOBILITY EXTENSION (SEMESTER TO FULL YEAR)

Students and doctoral candidates who receive approval to extend their mobility may continue their studies at the host institution, however, they will not receive Erasmus+ funding for the extended period.

If you want to extend your mobility, you must inform the Student Exchange Office at least 30 days before the end date stated in your financial agreement. To do this, send the Extension form signed by the coordinators from both universities. Extension for another semester is possible only within one academic year, i.e. from the winter semester to the entire academic year.

IMPORTANT: If your insurance (EHIC, medical, or accident) doesn't cover the extended period of your stay abroad, you must arrange a new EHIC card and additional insurance that covers the full extended period of your mobility. Please send a new statement to erasmus.outgoing@uj.edu.pl

EXTENSION OF THE MOBILITY PERIOD

If the period of planned mobility is longer than the financing period indicated in the financial agreement, this fact must be reported to Student Exchange Office no later than 30 days before the end date of the mobility specified the financial agreement. After receiving this information, Student Exchange Office will prepare an annex to the agreement to extend the financing period.

SHORTENING THE MOBILITY PERIOD

It is possible to shorten the mobility period from a full academic year to one semester. In such cases, a declaration of resignation from one semester must be submitted no later than 30 days before the end of the mobility period at the host university.

RESIGNATION

In order to completely resign from the mobility, a declaration of resignation must be submitted.
Please inform us of your cancellation as soon as possible so that other students have a chance to take your place.

Within 30 days of return, the student/doctoral student is required to settle the mobility with the Student Exchange Office. By this date, the required documents must be submitted via email as PDF (to erasmus.outgoing@uj.edu.pl) or in person to the SEO. Students must complete the settlement process independently—first with the Student Exchange Office, then with their Faculty/Institute CoordinatorAfter submitting all required documents to the Student Exchange Office, the final scholarship payment will be made based on the actual duration of the stay (calculated to the exact day using the Confirmation of Stay). If the scholarship amount previously paid is higher than the final amount due, the student will be asked to return the difference.

REQUIRED DOCUMENTS

  • Confirmation of Stay (COS) – a document confirming the dates of physical presence at the partner university, which serves as the basis for calculating the actual duration of the mobility and the total scholarship amount. Document templates from other universities are accepted.
  • Transcript of Records (TOR) – a document issued by the host university confirming the completion of courses.
  • Learning Agreement for Studies

Decision on the LA (in the case of EWP LA) – After receiving the Transcript of Records (TOR), please forward it to your faculty coordinator. Based on the TOR, the coordinator will issue the LA decision in USOSweb. Once the decision is published, kindly inform SEO by email.

Table D (in the case of the paper version of the LAS) –After receiving the Transcript of Records (TOR), please forward it to your faculty coordinator. Based on the TOR, the coordinator will sign the Table D of the Learning Agreement (after the mobility). Once Table D is signed, kindly send it to SEO by email.

  • Travel Declaration – document confirming travel to and from the host university (with tickets)
  • After submitting all required documents, the student will receive a link to the Participant Report. The report must be completed and sent as a PDF to SEO at: erasmus.outgoing@uj.edu.pl.
