Erasmus+ Studies

We invite you to participate in the recruitment process for the Erasmus+ Studies Programme. Details can be found below in the "Recruitment for mobilities in the academic year 2024/2025" tab.

Each Faculty and Institute of the Jagiellonian University signs its own agreements with foreign universities. The current offer of trips available for your unit can be found in the USOSweb system in the STUDENTS' SECTION tab → Student Exchangemobility offer.

The list of all universities cooperating with individual faculties/institutes can be found on the International Relations Office website (on the left side, in the section SEE ALSOLISTA UMÓW KA 131-HED).

It is not possible to travel within another unit.

If your unit does not have a signed agreement with the university you are interested in, please contact your Faculty/Institute Coordinator. Perhaps he will be able to sign contract before the next recruitment.

We kindly to invite you to participate in the recruitment for the Erasmus+ Studies Programme for mobilities that will take place in the academic year 2024/2025. The first recruitment will start in January 2024, while the second recruitment will start in May 2024. Under the first recruitment, you can apply for an Erasmus+ Studies mobility in any semester of the 2024/2025 academic year (winter semester or summer semester) or the entire 2024/2025 academic year. Under the second  recruitment, you can apply for an Erasmus+ Studies mobility in the summer semester of the 2024/2025 academic year only. 

Recruitment is open to Erasmus+ member universities in all European Union countries as well as Turkey, Norway, North Macedonia and Serbia. Students and PhD students from certain units also have the possibility to apply for mobilities to Switzerland (under SEMP funding, not ERASMUS+) and under the Coimbra Group Student Exchange Group (CG SEN). It is not possible to apply for trips to the UK, which is not part of the Erasmus+ Programme.

SUBMISSION OF A RECRUTIMENT APPLICATION

Recruitment for the Erasmus+ Study Programme is done only through the USOSweb system. In order to take part in the recruitment process, you need to log in to the USOSweb system and then select the STUDENT'S SECTION -> Student Exchange and submit your application. After logging in to USOSweb, the student/doctoral student will be able to see a list of foreign universities.

Obligatory fields to be filled in the application in USOSweb (aplies to students/doctoral students from JU units with Common Qualification Criteria):

  • Priority - Where do you want to go to study? (you can indicate three universities to which you want to go for the exchange according to the hierarchy of priorities)
  • declaration of the language proficency
  • Madatory documents: CV and cover letter written in Polish or in English
  • Study program at home university for applying for mobility
  • Previous Erasmus mobilities

The following fields are not required to be completed in the USOSweb applicaiton: courses with grades, opinion, internships abroad, other experience (aplies to students/doctoral students from JU units with Common Qualification Criteria)

Each student/doctoral student can indicate in the application three universities to which he/she wants to go for the exchange (according to the hierarchy of priorities). Please make yourself familiar with the profile of the universities (on the websites of the universities) that you will select in your application.

QUALIFICATION CRITERIA

We kindly ask you to read the Qualification Criteria for the FIRST ROUND OF THE RECRUTIMENT and the Qualification Criteria for the SECOND ROUND OF THE RECRUITMENT for the Erasmus+ Studies 2024/2025 Programme.

ADDITIONAL POINTS IN THE RECRUTIMENT (aplies to students/doctoral students from JU units with Common Qualification Criteria) 

  • Additional involvment. Every student/doctoral student participating in the Erasmus+ Studies Programme recruitment for mobilities in the academic year 2024/2025 has the opportunity to receive additional points in the recruitment process for documenting their own involvement in the work of UJ student and doctoral student entities. Only one confirmation of one activity of the student's/doctoral student's choice will be considered. The confirmation must be issued and signed by a representative of the entity's authorities. The scan must be sent via forms. The entities of UJ students and doctoral include: Student Government (Student Government Council and Faculty Student Government Councils), UJ Doctoral Student's Society, UJ Council of Scientific Clubs, scientific clubs, associsations, bands, choirs and other organisations operating witihin the Jagiellonian University.
  • Rector's scholarship. Every student who has been awarded the Jagiellonian University Rector's Scholarship for the 2023/2024 academic year will receive an additional 15 points in the admissions process. International Students Office does not require the provision of a scholarship decision. Points will be awarded to every student with rector's scholarship.
 
RECRUITMENT WITHIN THE COIMBRA GROUP STUDENT EXCHANGE NETWORK (CG SEN)
 
Students and doctoral students of selected UJ units have the opportunity to apply for Erasmus+ Studies mobility to universities under CG SEN multilateral agreements. To apply for CG SEN recruitment, a student/doctoral student whose unit is eligible for this recruitment chooses the following path in USOSweb: STUDENT’S SECTION -> Student Exchange -> applications -> unit selection: "Jagiellonian University in Krakow" -> select "submit application".

Students receive a scholarship from EU funds as a contribution to travel and living costs abroad. These amounts are determined by the Erasmus+ National Agency and depend on the chosen mobility country. The scholarship rates for Erasmus+ Studies mobilities in the 2024/2025 and 2023/2024 academic years are shown below.

TOTAL SCHOLARSHIP AMOUNT

The financial agreement is prepared for a specific number of days based on the dates declared by the student of the start of the semester at the host university and the end of the examination session. The agreement specifies the maximum scholarship that can be obtained if the number of days of mobility specified in the agreement is met. In justified cases, it is possible to change the duration of mobility in order to annex the agreement and change the financing period. Changes must be reported no later than 30 days before the end of the original funding period. Details in the Duration of the Mobility tab. 

Note: the Erasmus+ Program assumes that mont has 30 days (do not count calendar days manually). The duration of the mobility is calculated by the system based on dates.

After completing the mobility, the scholarship due is calculated accurately to one day based on the Confirmation of Stay document. If the actual duration of mobility turns out to be shorter than the financing period specified in the agreement, in the settlement process an amount corresponding to the number of unused days will be deducted from the maximum amount of the scholarship. If the scholarship due is lower than the previously disbursed amount, the student will receive a request from International Students Office to refund the difference.

In the case of mobility for one semester, the scholarship is paid in 2 installments:

  • The first installment is paid before departure and constitutes 80% of the entire scholarship.
  • The second installment is paid after submitting a complete set of documents for settlement and constitutes 20% of the entire scholarship.
    If the Confirmation of Stay shows a shorter actual duration of mobility than the financing period included in the 
    agreement, this installment will be reduced by the equivalent of the missing days. If the scholarship due is lower than the amount previously disbursed, the student will receive a request from International Students Office to refund the difference.

In the case of mobility for the whole academic year, the scholarship is paid in 3 installments:

  • The first installment is paid before departure and constitutes 50% of the entire scholarship.
  • The second installment is paid before the beginning of the summer semester and constitutes 40% of the entire scholarship.
  • The third installment is paid after submitting all the documents for settlement and constitutes 10% of the entire scholarship.
    If the Confirmation of Stay shows a shorter actual duration of mobility than the financing period included in the 
    agreement, this installment will be reduced by the equivalent of the missing days. If the scholarship due is lower than the amount previously disbursed, the student will receive a request from International Students Office to refund the difference.

LOWER CHANCES ALLOWANCE

An increase in the monthly scholarship rate by EUR 250 is available to students whoin any semester of the academic year preceding the academic year in which mobility will take place, received a social scholarship at any university and to students with a certificate of disability.

The scholarship decision or disability certificate must be delivered to International Students Office - it may be a scan of the document sent by e-mail.

GREEN TRAVEL ALLOWANCE

Student can receive a one-off allowance for carrying out low-impact travel to and from exchnage destination. To obtain the allowance of EUR 50, you must prove that most of the trip in both ways was covered by low-emission means of transport, i.e. train, bus, car with more than 1 person in the car in the case of traveling to the same place, for the same purpose - the so-called carpooling. Travel by plane, solo car or by car in any other way than the so-called carpooling disqualifies from the allowance. 

Additional financing is also available for up to 4 days of travel (2 days of travel each way) not covered by double financing (not coinciding with the dates on Confirmation of Stay).

The condition for disbursing the allowance is to submit a Green Travel declaration after the end of mobility together with other documents required for settlement.

Travel by bus and train must be documented with tickets. If they are missing, you are not entitled to the Green Travel allowance.

The trip cannot take place longer than 30 days before the start and 30 days after the end of the mobility.

THE PRINCIPLE OF FLEXIBILITY

The student has the right to retain the full scholarship for a period of up to 5 days shorter than that indicated in the agreement. For example, in the case of a 150-day agreement, you will retain the full scholarship corresponding to 150 days of mobility for the period of 145 to 150 days shown in the Confirmation of Stay.

REGISTRATION AT THE HOST UNIVERSITY

After completing the recruitment for the Erasmus+ Studies Programme, International Students Office sends the nominations of studetns to the host universities. Then, host universities contact the Students directly by e-mail with further instructions on application process (approx. 2-3 months before the start of mobility). The Student is obliged to complete the application procedure independently. If he/she does not complete all formalities within the deadline set by the host university, the university has the right to refuse to admit the Student.

SIGNING THE FINANCIAL AGREEMENT

Before starting mobility, the Student is obliged to sign a financial agreement at the International Students Offic, which specifies the duration of mobility and the amount of the scholarship. Information about the date of signing agreements is sent by e-mail approximately 2 months before the start of mobility. You must take your student ID with you to sign the agreement.

In justified cases (e.g. absence from Poland), it is possible to sign the agreement by correspondence. The agreement is shared with the Student online to print in two copies, sign and send back to International Students Office via traditional mail.

REQUIRED DOCUMENTS

  • The set of three required documents must be brought to the signing of the financial agreement. In justified cases, they can be delivered by e-mail at a later date. Submitting documents is required for starting mobility at the host university and for the disbursement of the first installment of the scholarship.

  • BANK DETAILS FORM completed on computer, printed and signed by handYou must provide only one account number and confirm that it is in EURO.
  • EWP LEARNING AGREEMENT submitted via USOSweb must be fully approved before mobility begins. In case of program differences, an annex to the LAS is also required. Submitting a document in a paper version (Before the Mobility part) signed by the Student and Coordinators from both universities is only allowed in the case of universities that have not yet processed LA through EWP. Students who complete the EWP LA in USOSweb do not complete the paper version of the document.
    EWP LA procedure in USOSweb:
    • The Student requests opening EWP LA in USOSweb by Coordinator of his/her unit
    • The Coordinator creates it
    • The Student fills the form out and accepts it
    • The Coordinator accepts it or reverts for correction and re-approval by the Student
      After the Coordinator's approval, the system automatically sends EWP LA to the host university e-mail provided by the Coorindator while opening EWP LA
    • We await Partner's final approval
    • Please inform us via e-mail when EWP LA is fully accepted!
  • SMS STATEMENT - The student declares in it:
    • ​having an EHIC card valid for the entire period of travel and stay within the Erasmus+ Programme (applies only to Polish citizens). Having an EKUZ card is optional for mobilities in countries that are not part of the EU and do not accept the EKUZ card (e.g. Turkey).
    • purchase of: medical insurance and personal accident insurance, which is valid for the entire period of travel and stay within the Erasmus+ Programme in the country where the exchange will be implemented.
    • registration of the trip in the Odyseusz portal (applies only to Polish citizens).
    • familiarizing yourself with the Erasmus+ Student Card
    • having the student's status for the academic year in which the exchnage will take place
    • used mobility capital of the Erasmus+ Program (you are entitled to 12 months on the first, second and third cycle of studies or 24 months on long-cycle master's studies)
    • the main language in which the exchange will be implemented.
  • LANGUAGE SUPPORT - you can take the OLS language test on the EU Academy OLS platform in the language in which the mobility will be implemented. This test can be helpful if you do not have a certificate on the main language of your exchange. Once you have completed the test, you can download the certificate from the EU Academy OLS platform.
    Instructions on how to do it can be found here: EU Academy How to create an EU Login and EU Academy OLS. It is not mandatory to carry out the test.

 

  • The first installment of the scholarship will be disbursed approximately two weeks before the planned start of mobility - provided that the Student completes all formalities:

    • signing the financial agreement
    • submitting a complete set of documents
    • inform International Students Office about obtaining registration for the next academic year

The Erasmus+ Studies Programme allows you to travel for one semester (winter or summer) or for the entire academic year (depending on the conditions of cooperation with a specific university). The Student may report a different duration of mobility - then the agreement is prepared for this period, and if the Student has already signed the standard agreement, an annex is prepared.

Note: the Erasmus+ Programme assumes that mont has 30 days (do not count calendar days manually). The duration of the mobility is calculated by the system based on dates.

MOBILITY CAPITAL

The mobility capital is 12 months for first/second/third cycle studies and 24 months for long-cycle master's studies.
You cannot go for the Erasmus+ Program after using the Mobility Capital allocated for a given degree of study.

EXTENSION OF SEMESTER MOBILITY TO WHOLE YEAR MOBILITY

The desire to extend mobility must be reported to International Students Office no later than no later than 30 days before the end of the original financing period by sending the Extension form signed by the Coordinators of both universities. Extension for another semester is possible only within one academic year, i.e. from the winter semester to the entire academic year.

EXTENSION OF THE FINANCING PERIOD

If the period of planned mobility is longer than the financing period indicated in the financial agreement, this fact must be reported to International Students Office no later than 30 days before the end of the original financing period. After receiving this information, International Students Office will prepare an annex to the agreement to extend the financing period.

SHORTENING THE MOBILITY PERIOD

It is possible to shorten the mobility granted for the whole year to one semester. For this purpose, a declaration of resignation from one semester must be submitted no later than 30 days before the start of the next semester at the host university.

RESIGNATION

In order to completely resign from the mobility granted, a declaration of resignation must be submitted.
Please inform us of your cancellation as soon as possible so that other students have a chance to take your place.

Settlement is due within 30 days after the end of mobility. The Student settles accounts independently in the International Students Office and in his/her unit by contacting the Faculty/Institute Coordinator. After submitting the complete set of required documents to International Students Office, payment of the last installment of the scholarship is ordered in the amount corresponding to the actual duration of mobility. The due scholarship is calculated with one day accuracy based on the Confirmation of Stay document. If the scholarship due is lower than the amount previously disbursed, the student will receive a request from International Students Office to refund the difference.

EXTENSION OF THE FINANCING PERIOD

If, during the mobility period, the Student realizes that it may last longer than originally planned, it is possible to extend the financing period beyond the period specified in the agreement. Details in the Duration of mobility tab.

REQUIRED DOCUMENTS

  • Confirmation of Stay (COS) - a document confirming the dates of arrival and departure from a foreign university, which is the basis for calculating the actual duration of mobility, and therefore the total scholarship due to the Student. Document templates from other universities are accepted.
  • Transcript of Records (TOR) - a document issued by a foreign university to confirm that the subjects have been passed.
  • Learning Agreement for Studies
    • Decision on LA (in case of EWP LA) - providing the JU coordinator with a TOR to create the Decision on LA in USOSweb. Please inform International Students Office by e-mail about the decision.
    • Table D (in case of the paper version of the LAS) - providing the JU coordinator with a TOR to complete and sign Table D of the LAS.
      TOR is equivalent to Table C - you just need to submit one of these documents. If changes have been made to the Before the Mobility section, the During the Mobility section must be submitted if it has not been submitted previously. The documents must have a complete set of signatures.
  • After submitting the above documents, the Student is created a profile on the Beneficiary Module portal, which automatically generates and sends a Participant Report to the Student's e-mail address. The survey should be completed and sent in PDF format to  International Students Office e-mail address.
