Erasmus+ Short-term blended traineeships for doctoral students

Erasmus+ Short-term blended traineeships combine a short physical mobility with a virtual component facilitating collaborative online learning exchange and teamwork. At Jagiellonian University, this Programme is dedicated to doctoral students only - participants of Doctoral Schools, also within 12 months from completing education (recent graduates). Virtual component is optional.

Recruitment for the Erasmus+ Short-term blended Traineeship Programme is continuous and will take place until Erasmus+ National Agency funds are exhausted for the current mobility project. A doctoral student interested in undertaking a traineeship is required to send a recruitment application within a period not exceeding 45 days from the planned beginning date of the traineeship. A doctoral student interested in completing a graduate traineeship is required to submit a recruitment application within a maximum of 45 days of the planned graduation date. 

Qualification criteria

Only applicants who have submitted the required documents, Learning Agreement for Traineeship (short-term blended traineeship) – Before the mobility section,  Candidate Questionnaire, and completed the application form will be admitted for recruitment. Formal criteria include a description of the purpose of the traineeship and knowledge of the language in which the traineeship will be carried out (indicated in the Candidate Questionnaire) and submission of the Learning Agreement for Traineeships. If the formal criteria are fulfilled, the doctoral student will receive the decision of the Selection Committee via e-mail within 14 working days from submitting the application form. 

To submit a recrutiment application, please provide the following documents to the Student Exchange Office (via e-mail to erasmus.outgoing@uj.edu.pl titled "Erasmus+ Short-term blended traineeship" or in person to the Student Exchange Office): 

  1. Learing Agreement for Traineeships (short-term blended traineeships) -  Before the Mobility section. The document constitutes an agreement on the traineeship’s programme and should be prepared in English. Required fields to be completed: table with doctoral student's data on the first page of the document (Trainee), data of sending institution (Sending Institution) and the data of the receiving institution (Receiving organisation/Enterprise). The document must contain the three required signatures in the table on the last page: signature of the doctoral student (Trainee), signature of the representative of the Doctoral School (responsible person at the sending institution) - i.e. the Head of the Doctoral School / / Head of the Doctoral Programme / PhD Programme and signature of the representative of the receiving institution (responsible person at the receiving institution).

Doctoral students independently search for the foreign institution where they want to carry out the traineeship and establish contact with its representatives in order to arrange the terms of the traineeship. Jagiellonian University does not maintain any database of institutions offering traineeships. Selected traineeships offers are available on the Erasmus Intern Website run by the Erasmus Student Network. The traineeship may not be carried out in any of the EU institutions and institutions responsible for the management of EU programmes

2. Candidate Questionnaire. The document must be completed and signed by a doctoral student and signed by a representative of Doctoral School - i.e.  Head of the Doctoral School/Head of the Doctoral Programme / PhD programme /. 

3. Completion of the online application form is required.

 

Rules applied to Erasmus+ STM mobilities implemented within the KA131-2025 project, which take place from November 1, 2025 to September  30, 2026.

SCHOLARSHIP

The scholarship amount for the mobility corresponds to the length of stay and is paid after the signing of the financial agreement. Each day of stay is funded at the following rates.

  • The amount of daily scholarship for stays of 5 to 14 days: € 79/day
  • The amount of daily scholarship for stays of 15 to 30 days: € 56/day

TOP-UP GRANT FOR PARTICIPANTS WITH FEWER OPORTUNITIES

Top-up grant for participants, i.e. those meeting the criteria of ‘people with fewer opportunities’ (increase of the monthly scholarship rate) is available to:

  1. Doctoral students with a disability certificate:
    The condition for increasing the basic Erasmus+ grant rate is the submission of a declaration and positive verification in the USOS system of the disability certificate.
  2. Doctoral students with children under the age of 8 (in the year of the mobility):
    The condition for increasing the basic Erasmus+ grant rate is the submission of a declaration and presentation of the child’s birth certificate for the university’s review.
  3. Doctoral students who have been granted asylum or have refugee status:
    The condition for increasing the basic Erasmus+ grant rate is the submission of a declaration and positive verification in the USOS system of the relevant annotation regarding the right or status held.

The amount of the allowance is:

  • for themobilities between 5 to14 days: 100€
  • for the mobilities between 15 to 30 days: 150€

FUNDING FOR TRAVEL DAYS

Each participant in the Program will receive a flat rate for travel. The flat rate amount depends on the mode of travel and the distance from the departure point (the destination being the sending institution - Krakow) to the receiving institution. The distance is determined using the distance calculator available on the European Commission's website. Flat rate amounts are available here. Travel carried out in a low-emission way (e.g., by train, bus, carpooling) corresponds to the Green Travel flat rate. In contrast, travel carried out in an emissions-generating way (e.g., by plane) corresponds to the 'standard travel' flat rate.

Moreover, after the mobility ends and the required documentation is submitted, the participant may receive funding for up to 6 days of travel (if the travel takes place on days other than the traineeship for both directions) using low-emission means of transport, i.e., public transport (bus, train) or by car (carpooling - a minimum of two passengers). The basis for disbursing the Green Travel allowance is to provide a travel declaration, and in the case of using public transport (train, bus), tickets for the round trip must be submitted. Participants travelling by plane/car alone will be granted an additional allowance for a maximum of 2 days of travel, provided the trip takes place on days other than the traineeship

 

RULES OF THE SCHOLARSHIP PAYMENT

The scholarship is paid in two instalments:

  • The first instalment constitutes the entirety of the scholarship (including the "inclusion support for participants" supplement, if applicable, and the standard travel allowance) and is paid after signing the financial agreement at the Student Exchange Office.
  • The second installment constitutes the allowance for funding travel days and the difference between the standard travel allowance and the Green Travel allowance (only in the case of travel using low-emission means of transport). The second installment is paid after returning to Poland and completing all formalities related to the settlement of mobility at the Student Exchange Office.

Doctoral students qualified for the Erasmus+ Short-term blended traineeships Programme must fulfill the following formalities and sign a financial agreement with Jagiellonian University up to 14 days before the planned date of departure for traineeship. 

Documents listed below must be prepared before signing the financial agreement and must be delivered 14 days before the planned start date of the traineeship to the Student Exchange Office (via e-mail to erasmus.outgoing@uj.edu.pl) or in-person to the Student Exchange Office. Please send the complete set of documents in one email, titled "Erasmus+ short-term blended traineeships". 

 

Which documents are required before signing a financial agreement?

1. The Bank Details Form should be filled out on a computer, printed and signed. A document must be completed by hand to be accepted. Doctoral students must indicate the bank account number in EURO currency to which the allowance will be transfered. It is impossible to indicate a bank account maintained in PLN or other currency since the scholarship is paid in EURO. The indicated account may be kept in a Polish or foreign bank, and the account's owner must be the person participating in the traineeship. Please submit the document as a PDF file.

2. Learing Agreement for Traineeship (short-term blended traineeships) - Before the Mobility section (to be provided if changes have occurred concerning the LAT Before the Mobility submitted at the recruitment stage). 

3. Statement that confirmts: 

  • Three mandatory insurance coverage categories, valid for travel and stay in the country for the entire period of the traineeship. The compulsory coverage categories are medical expenses, accident insurance and liability insurance. 
  • [applies only to Polish citizens] European Health Insurance Card (EHIC) issued by the National Health Fund (NFZ), valid for travel and stay in the country for the entire period of the traineeship. The card is valid only in the countries of the European Union and covers only certain medical services. EHIC card is optional for traineeship in countries that are not part of the EU and do not honor the EHIS card (e.g. Turkey). 
  • The party responsible for purchasing insurance for the mobility period and travel is the doctoral student.

  • The main language in which the exchange will be implemented.

Signing the financial agreement

After delivering all the required documents, a doctoral student is required to sign a financial agreement. The agreement specifies in detail the terms of the traineeship and the financial scholarship. The financial agreement should be signed no later than 14 days before the planned first day of the traineeship.

The financial agreement is signed at the Student Exchange Office, located at the Centre for Academic Support at Ingardenta 6 in Kraków. The date of signing the agreement should be arranged in advance with the Student Exchange Office (e-mail: erasmus.outgoing@uj.edu.pl). 

In specificl cases (e.g., absence in Poland, longer stay outside of Kraków), the financial agreement may be signed remotly. In this case, the financial agreement is made available online for the outbound person to sign and send its hard copies by mail to the Student Exchange Office.

 

Language support

You can take the OLS language test on the EU Academy OLS website in the language in which the mobility will be implemented. This test can be helpful if you do not have a certificate on the main language of your exchange. Once you have completed the test, you can download the certificate from the EU Academy OLS website. Instructions on how to do it can be found here: EU Academy How to create an EU Login and EU Academy OLS. It is not mandatory to carry out the test. 

Doctoral student may extend their stay on the Short-term blended traineeship pif they obtain permission from the host institution. The extended funding period is up to 30 days.

To extend the traineeship, a Learning Agreement for Traineeship (short-term blended traineeships) document should be drafted - During the Mobility part. In the document, the start date of the mobility and the anticipated end date of the mobility (after the extension) must be indicated. The document must be signed and stamped by the host institution and then sent as a scan to the Student Exchange Office's email address: erasmus.outgoing@uj.edu.pl. 

IMPORTANT: If the insurance (EHIC card, medical expenses, accident insurance, liability insurance) does not cover the extended period of stay abroad, the trainee is required to arrange for an EHIC card and additional insurance, which will cover the entire extended period of the traineeship. Proof of these insurance coverage categories should be emailed to the Student Exchange Office along with the Learning Agreement During the Mobility document. 

Upon receipt of the document(s), the Student Exchange Office draws up an annex to the funding agreement for the extended funding period. The annex is made available to students via a link to the online folder. The annex must be printed in duplicate and signed with a date of receipt of the annex from the Student Exchange Office. Then, both hard copies of the document should be sent by mail or courier service to the:

Within 30 days of returning from the traineeship, a doctoral student must settle their traineeship with the Student Exchange Office. By this date, the following documents must be submitted via email as scans (to erasmus.outgoing@uj.edu.pl) or in-person to the Student Exchange Office:

1. The Learning Agreement for Traineeship - After the Mobility section. The document must be signed and stamped by the host institution. IMPORTANT: The same dates of the traineeship must be named in the document as those declared in the LAT Before the Mobility part submitted before the departure or the LAT During the Mobility section(for those who have extended their mobility and signed an annex to the financial agreement). 

2. Travel declaration (completed and signed) with attachments - tickets, bills.

3. IMPORTANT: It is mandatory to complete the Participant Survey, to which the doctoral student will receive a link via email after completing  the Short-term blended traineeships.
